Title:   Project Coordinator (Hotel and Residential Development)

Immediate Supervisor: Project Manager – Development

FLSA Status: Exempt

General Summary:  The Project Coordinator (Hotels) is responsible for managing the administrative / task functions in support of the development of hotels for company; with immediate scope being one major development that includes a hotel with a residential component comprised of multiple condominiums and villas currently under development.  Work includes attending meetings, coordinating action items, milestone and activity tracking, task management, follow up with contacts on projects, online and hard copy file management, communication and internet research as required.

Essential Job Functions:

  • Within individual’s area of responsibility, consistently identifies potential project problems or opportunities in a proactive manner, working under the supervision of the Project Manager.
  • Manage the status of project documents, develop databases and spreadsheets, and maintain the department’s filing system (both electronic and hard copy documentation).
  • Work alongside the project manager to release and track status of Contracts, Change Orders, Purchase Orders and follow-up on execution and completion.
  • Interface with contractors and consultants; assist with responses to requests for information and research.
  • Interface with the accounting department to follow-up on payments and ensure timely payment releases to contractors and vendors.
  • Maintain accurate vendor profiles, requesting documentation and verifying insurance and other requirements are met.
  • Track status of Permits, Notices to Owners, Notices of Commencement, Waivers of Liens, and overall Project Closeout Documentation, developing reports as needed.
  • Oversight and knowledge of onsite activities (to confirm the work that has been done for the invoices).
  • Track comprehensive project milestones and timelines.
  • Coordinate flow of information between meetings and project updates.
  • Maintain confidentiality of all information.
  • Perform research and follow-up as necessary to solve problems.
  • Independently manage the flow of information within our software systems.
  • Report regularly on progress and milestones of multiple projects with minimal supervision.
  • Organize and prepare for and attend meetings and follow-up as required.
  • Maintain confidentiality of all information.
  • Other duties as assigned.

 Essential Qualifications:

  • Four-year degree in business, construction, project management or related field and/or equivalent work experience.
  • Working knowledge of a full range of administrative processes related to project design, construction administration and contract administration typically gained through experience.
  • Advanced proficiency in software, including but not limited to: Excel, Word, PowerPoint, Outlook, and Milestone management software.
  • Ability to create filing and retrieval logic for large sums of documents with a focus on paperless.
  • Demonstrated ability to proactively identify critical path tasks and execute on tasks.
  • Ability to interface with all levels of leadership, employees and external guests/vendors.
  • Demonstrated ability to be flexible in managing a workload of varied tasks, some with conflicting deadlines.
  • Self-starter with strong problem-solving skills.
  • Highly organized with attention to detail.
  • Excellent written and verbal communications skills.
  • Ability to multitask and prioritize multiple demands.
  • Experience in administrative management of projects.
  • Detail oriented with excellent organizational skills.
  • Must be able to communicate in English effectively with other individuals.
  • Must have valid Florida driver’s license.

Essential Physical Requirements:

  • Must be physically able to do assigned work as outlined above.
  • Must be able to input and access confidential and private information and data into electronic and paper files.
  • Must be physically able to sit and use the computer for hours at a time.
  • Must be able to lift up to 20 pounds.
